EXECUTIVE BOARD POSITIONS
PARLIAMENTARIAN
The Parliamentarian ensures that all meetings and proceedings of the Turner Tech Eagles Alumni Association are conducted in accordance with established parliamentary procedures, organizational bylaws, and Robert’s Rules of Order (or other designated rules). This role supports order, fairness, and efficiency in all official business. Key Responsibilities: Procedural Guidance: Advise the President and Executive Board on proper parliamentary procedure during meetings to ensure fair and orderly conduct. Bylaws Interpretation: Serve as the official interpreter of the Association’s bylaws and rules of order, providing clarity and guidance when disputes or questions arise. Meeting Oversight: Monitor meetings to ensure motions, votes, and debates are conducted in accordance with established rules and that all members have equal opportunity to participate. Policy Review: Assist in the drafting, review, and amendment of bylaws, standing rules, and policies to ensure alignment with organizational goals and governance standards. Election Procedures: Oversee the nomination and election process to ensure fairness, transparency, and adherence to procedures. Training & Education: Provide training or resources to board members and class representatives on parliamentary procedure and governance practices as needed. Neutrality: Remain impartial and refrain from voting or actively participating in debates, except in cases where a tie-breaking interpretation is necessary. Dispute Resolution: Assist in resolving procedural conflicts and maintaining order during contentious discussions or disputes.
FINANCIAL SECRETARY
The Financial Secretary is responsible for accurately recording, tracking, and reporting all financial transactions of the Turner Tech Eagles Alumni Association. This role works closely with the Treasurer to maintain transparency, accountability, and fiscal integrity. Key Responsibilities: Record Keeping: Maintain detailed and up-to-date records of all financial contributions, receipts, dues, donations, and fundraising income. Funds Collection: Receive all monies collected by the organization (dues, event fees, donations, etc.) and provide accurate documentation of all transactions. Deposit Management: Ensure that all funds received are properly documented and submitted to the Treasurer for deposit in a timely manner. Financial Reporting: Prepare and present financial activity reports, including income logs and donor reports, at regular board and membership meetings. Membership Dues Tracking: Keep an accurate ledger of members' financial standing, including dues paid and outstanding balances, and notify members accordingly. Reconciliation Support: Work with the Treasurer to reconcile financial records and assist in the preparation of budgets, audits, and annual financial reviews. Confidentiality & Compliance: Handle all financial records with strict confidentiality and ensure compliance with the organization’s financial policies and procedures. Collaboration: Collaborate with the Fundraising Chair and other financial officers to support financial planning, grant tracking, and fundraising events.
CORRESPONDING SECRETARY
The Corresponding Secretary serves as the official communicator of the Turner Tech Eagles Alumni Association, responsible for managing all external communications, correspondence, and formal notifications on behalf of the organization. Key Responsibilities: Official Communication: Draft, review, and send all formal correspondence, including meeting notices, invitations, thank-you letters, partnership requests, and public statements. Meeting Notifications: Ensure timely dissemination of meeting announcements, agendas, and post-meeting follow-ups to all relevant members and stakeholders. Documentation Support: Assist the Recording Secretary by distributing minutes, documents, and board decisions as needed. Email & Mail Management: Monitor and manage the organization’s official email and/or mailing address; ensure messages are responded to or routed appropriately. Event Communication: Collaborate with the Events and Public Relations teams to support outreach efforts, digital promotion, and event-related updates. Community Engagement: Maintain positive communication with alumni, school administrators, sponsors, and community partners. Archiving Correspondence: Keep a record of all formal correspondence and ensure accessibility for audit or historical reference purposes. Reporting: Provide a summary report of correspondence activity during regular board meetings or as requested by the President.
EXECUTIVE COMMITTEE POSITIONS
COMMUNICATIONS CHAIR
The Communications Chair serves as the public voice of the Turner Tech Eagles Alumni Association, responsible for managing the Association’s outward-facing communications and strengthening its presence in the community. This role builds relationships, promotes the organization’s initiatives, and ensures the alumni brand is represented with clarity, professionalism, and impact. Key Responsibilities: Public Relations & Outreach: Represent the Association in external communications and media opportunities. Build and maintain relationships with local press, community organizations, school officials, and alumni stakeholders. Brand Stewardship: Uphold and elevate the Association’s brand across all outward-facing content and platforms, ensuring consistency in tone, visuals, and messaging. Marketing & Promotion: Lead the development and distribution of promotional campaigns for events, initiatives, and fundraising efforts across social media, email, digital media, and print. Website & Social Media Management: Oversee the design, tone, and regular updates of the website and social channels to reflect the Association’s mission and keep the public informed. Media Content Creation: Coordinate or create press releases, visual assets, digital flyers, recap posts, and video content that showcase alumni achievements and Association milestones. Community Engagement: Increase visibility and engagement by highlighting alumni success stories, community partnerships, and impact-driven events that reflect Turner Tech pride. Crisis Communication: Collaborate with the Executive Board to manage communications during sensitive or high-profile situations, ensuring timely, clear, and unified messaging. Reporting & Strategy: Track outreach performance and engagement metrics, and report communication insights to the Executive Board with recommendations for future improvements.
SCHOLARSHIP CHAIR
The Scholarship Chair ensures that deserving students and/or members are recognized and supported through financial awards. Core Duties: Develop Scholarship Criteria: Collaborate with the board to establish eligibility guidelines and application requirements. Coordinate the Application Process: Create, distribute, and manage scholarship applications and deadlines. Facilitate the Selection Committee: Recruit a panel to review applications, ensure unbiased scoring, and finalize awardees. Promote Opportunities: Partner with Communications to advertise scholarships across social media, email, and events. Plan Scholarship Award Ceremonies: Organize and host events (virtual or in-person) to announce and celebrate recipients. Maintain Records: Track past recipients, award amounts, and impact stories for reporting and future fundraising.
EAGLE ALUMNI TRANSITION CHAIR
The Eagle Alumni Transition Chair serves as the primary liaison between graduating seniors and the Turner Tech Eagles Alumni Association. This role is designed to promote alumni engagement from the moment of graduation, ensuring a seamless and intentional transition from student to alumni status. Key Responsibilities: Senior Class Engagement: Partner with school administration and senior class leadership to educate students about the alumni association and encourage post-graduation involvement. Transition Programming: Develop and coordinate events and communication initiatives (e.g., “Senior Send-Offs,” alumni welcome kits, interest forms) that prepare seniors to become active alumni. Membership Conversion: Promote early registration and participation in the Association by newly graduated members, including financial contributions and class representative nominations. Alumni Induction: Organize and lead the alumni induction ceremony or welcome moment during graduation season, officially welcoming each graduate into the alumni body. Data Collection & Communication: Work with administration to collect and maintain accurate contact information for new graduates and ensure they are included in alumni communications and newsletters. Collaboration: Collaborate with the Membership, Events, and Outreach Committees to ensure recent graduates are represented and included in planning and programming. Reporting: Provide regular updates to the Executive Board on transition efforts, new member metrics, and areas for improvement or innovation.
